FarmTrack is operated by Luc van Rhyn ([VERIFY: company registration number and legal entity name]), a livestock farm management software service based in the Republic of South Africa.

We are a Responsible Party under the Protection of Personal Information Act 4 of 2013 (POPIA).

3. What information we collect

We collect the following categories of personal information:

  • Account information: Your name, email address, and password (hashed) when you register.
  • Farm data: Animal records, camp configurations, observations, and other livestock management data you enter into the platform. This data belongs to you.
  • Billing information: Subscription tier and billing history. Payment processing is handled by PayFast; we do not store card numbers.
  • Usage data: Log entries and error reports used for platform stability. No behavioural profiling is performed.
  • Contact enquiries: Name, email, phone, and message content when you submit a quote or contact form.

4. How we use your information

We use your personal information only to:

  • Provide and maintain your FarmTrack subscription.
  • Process billing via PayFast.
  • Send transactional notifications (password reset, invoice) and product updates you have opted into.
  • Diagnose and resolve technical issues.
  • Comply with legal obligations under South African law.

We do not sell, rent, or share your farm data with third parties for marketing purposes.

5. Data storage and security

All farm data is stored in a Turso (libSQL) database hosted in the EU-West (Frankfurt) region. Data is encrypted at rest and in transit using TLS 1.2+.

We apply role-based access controls, per-tenant data isolation, and regular automated backups. No farm data is accessible across tenant boundaries.

6. Cross-border transfer

Your data is stored on servers located in the European Union (Germany). South Africa's POPIA section 72 restricts cross-border transfers of personal information. 7. Retention

9. Cookies and tracking

The FarmTrack marketing website uses minimal cookies for functional purposes only (e.g. session state). We do not use third-party advertising cookies or cross-site tracking scripts. 10. Changes to this policy
